Create PDF

To create a PDF in Microsoft Word, Excel and PowerPoint, please do as below:

Open a file in Microsoft Word, Excel or PowerPoint, click the Foxit PDF tab and do one of the following:

  • To create a PDF using the current settings, click the Create PDF button. Then enter the file name, specify the location and click Save. Alternatively, you can click File on the ribbon in Microsoft Word, Excel, or PowerPoint, and select Save as Foxit PDF to create a PDF from the Microsoft document with the current settings.   
  • To create and email a PDF using the current settings, click Create and email. Then enter the file name, specify the location and click Save. The created PDF file will be attached to your mail system automatically for you to send out.
  • To create a PDF and save it to SharePoint, click Create to ECM. Please refer to “Save the created PDF to ECM” for more information. 
  • To customize your PDF conversion settings before creating a PDF, click the Advanced button and the Foxit PDF Editor Add-in dialog box pops up. Some options depend on the application in which you are using the add-in.  

    In the Settings tab, you can specify the conversion settings and the following options. See also Setting Foxit PDF Editor Printer Properties

View PDF Results – Once the conversion is finished, the converted PDF will be opened with PDF Editor automatically. This option is checked by default.

Preserve Document Properties – Keeps the document properties of the source file in the converted PDF during the conversion. This option is checked by default.  

Create Bookmarks – In Word, keeps the bookmarks of the source file in the converted PDF; In Excel/PPT, the sheet name and the slide title (or the slide page number) will be converted to bookmarks in the generated PDF. This option is checked by default.

Tagged PDF – Creates a tagged PDF for accessibility. (Microsoft Office 2013 or a later version is required.)

Page Range – Specifies a page range that you want to convert. (Word only)

Convert comments – Converts the comments in Excel to note comments in the generated PDF.  

Conversion Options – Selects one of the following options to convert worksheets. Note: When you choose a command from the Create PDF group in the Foxit PDF tab, a dialog box pops up, allowing you to specify which worksheets in your Excel file are included in the converted PDF. 

  • Actual Size – Converts the worksheet to PDF using the actual size specified in the worksheet.

  • Fit the Entire Worksheet to a single page – Automatically adjusts the size of the worksheet so that all the entries on that worksheet appear on the same page in the generated PDF.   

  • Fit the Worksheet to the Width of PDF page – Automatically adjusts the width of the worksheet so that all the columns on that worksheet appear on one page in the generated PDF.

Preserve Slide Transitions – Includes the slide transitions that were created in PowerPoint in the converted PDF as PDF transition effects. 

Convert Hidden Slides to PDF Pages – Converts the hidden slides in PowerPoint to PDF pages during the conversion. 

Convert Speaker Notes – Converts the speaker notes added in PowerPoint to Note comments in the generated PDF. 

Slide Range – Specifies the slides you want to convert. (PowerPoint only)

In the Word tab: (Word only

Convert displayed comments to notes in Foxit PDF Editor – Select this option to specify how the comments in the Word file will be converted to Note comments in the created PDF. Once you select the option, the Comments box below in the Foxit PDF Editor Add-in dialog box shows the information on the comments included in the Word file. Then do the following:   

  • Reviewer: The author who made comments in the Word file.

  • Include: Check the box to convert the comments made by the reviewer to Note comments in the created PDF. Only after you check the box, can you specify the settings for “Notes open” and “Color” below.

  • Notes open: Check the box, the pop-up notes for the converted Note comments are opened after the PDF conversion. 

  • Color: Click the color icon to change the color for the note icon of the Note comments in the created PDF.

  • Count: The number of comments made by the reviewer.

Convert footnote and endnote links – Select this option and the footnote and endnote links in Word will be preserved in the generated PDF after conversion. 

For the Bookmarks tab: 

Convert Word headings to bookmarks in PDF – Check this option to convert all the headings in the Word document into bookmarks in the PDF document. You can deselect some headings that you don’t want converted in the heading list below.

Convert Word styles to bookmarks in PDF – Check this option to convert the selected text styles in the Element list to PDF bookmarks. 

Element list – Specify which Word headings and styles are converted to PDF bookmarks. The Element list includes the following categories: 

  • Element: List the names of all available Word headings and styles. 
  • Type: Indicate the type of the element in the Word document, Heading or Style. 
  • Level: Specify the level of an element that fits in the hierarchy structure of the PDF bookmark. For the style elements, you can click on the Level number to change their levels. 

Convert the bookmarks in Word to PDF bookmarks – Check this option to convert all the bookmarks in the Word document into bookmarks in the PDF document.
