Create bookmarks by text styles or search strings (Pro Only)

In addition to creating bookmarks manually, you have the option to use the Auto Create Bookmarks feature to automatically generate multi-level bookmarks from text content by specifying text styles or search strings and presetting the properties for the generated bookmarks. This feature is useful when you need to create bookmarks from headings or text that contains keywords, especially in a large document.

  1. Open the document you want to create bookmarks.
  2. Click theicon on the left Navigation pane to open the Bookmarks panel. Click the Options menu in the upper-left corner of the panel and choose Auto Create Bookmarks. (Or directly click Edit > Auto Create Bookmarks to open the Auto Create Bookmarks dialog box.)
  3. The Auto Create Bookmarks dialog box pops up. Under Bookmark Levels, do the following to set bookmark levels. Click Add, and the Bookmark Level Settings dialog box appears.

    1) In the Search Parameters tab of the dialog box, select a bookmark level, type a name for the level. Then do the following settings to control what text will be used as bookmark titles (i.e., the bookmark names). 

  • To include specific text in the bookmark titles, type the text in the Find Text Content box to search text in the current PDF document and set all occurrences of the text as bookmark titles. Select Match text case to find only occurrences that match the text you type. 
  • To include text with specific text styles in the bookmark titles, specify the font name and font size under Text Style. To quickly set the font name and font size based on the text in the document, select text in the document with the Select Text and Image command and click the Set Font Attributes from Selected Text button. This setting is often used if the text you want to set as bookmark titles uses a specific font style and is different from other text in this document. All text that uses the selected font and text size will be automatically set as bookmark titles.

2) In the Properties tab of the Bookmark Level Settings dialog box, preset the properties that will be applied to the bookmark titles, and click OK

  • Choose the options for the text appearance and text case as needed.
  • To add text before/after each bookmark title, select the Insert this text before each title and Add this text after each title options and type the text. 
  1. The level you set will be listed under Bookmark Levels in the Auto Create Bookmarks dialog box. 
  2. (Optional) To add more levels, click Add under Bookmark Levels in the Auto Create Bookmarks dialog box and repeat the related operations in Step 3. In addition, you can modify, duplicate, or delete created bookmark levels by clicking Edit…/Duplicate/Remove under Bookmark Levels in the Auto Create Bookmarks dialog box.
  3. Set a page range from which you want to create bookmarks in the Auto Create Bookmarks dialog box.
  4. Under Options, specify more options to create bookmarks.
  • Insert bookmarks - Choose where to place the created bookmarks or whether to replace the existing bookmarks in the Bookmarks panel.
  • Do not create consecutive duplicate bookmarks: To prevent the creation of multiple identical bookmarks in a row, select this option.
  • Remove non-alphanumeric characters – Select this option to remove non-alphanumeric characters from the created bookmark titles. 
  • Ignore text that contains stop words: If you don't want some text (such as the text in the header/footer with the same font style as the specified one) to be used to create bookmarks, select this option, click Edit Stop Words, and specify the words that needs ignoring to filter them out.
  1. (Optional) You can save the current bookmark settings into a settings file by clicking the Save to File… button to load and reuse it later. Or click the Load from File… button to import an existing settings file to create bookmarks.
  2. Click OK to start the bookmark creation. A dialog box pops up to show the operation results after the processing completes. Click OK to finish.
  3. You can see the created bookmarks displayed in the Bookmarks panel. Inspect the created bookmarks and adjust them manually if needed.
